This Privacy Policy explains how Laser Time LLC (“we”, “us”), organizer of the USA Laser Hair Removal Championship (the “Championship”), collects, uses, and shares information when you use this website (the “Site”). By using the Site, you agree to this Policy.

2. Information we collect

  • Account & registration data: first and last name, email address, phone number, business name, years of experience, and your password (stored only as a salted hash).
  • Payment data: championship payments are processed by Stripe. We do not collect or store your full card number; we receive limited transaction details (e.g., payment status and an identifier) from Stripe.
  • Submitted content: videos and any related materials you upload for the competition, which may depict your clients/models and their treatment.
  • Sponsorship inquiries: contact and company details you submit through the sponsor form.
  • Technical data: IP address, browser type, and basic request logs used for security, abuse prevention, and operating the Site.

3. How we use information

  • To create and manage your account and verify your email.
  • To process championship registrations and payments.
  • To receive, store, and present your submissions to judges for evaluation.
  • To communicate with you about your account, the Championship, and support requests.
  • To promote the Championship, as described in the Media Release in our Terms of Participation.
  • To secure the Site, prevent fraud and abuse, and comply with law.

4. Client and model data in submissions

Submitted videos and materials may include images of your clients or models. You are responsible for obtaining all necessary consents from those individuals before submitting, as described in our Terms of Participation. Do not upload anyone’s image or personal information without their permission.

5. How we share information

We do not sell your personal information. We share it only with service providers that help us operate the Site, and as required by law:

  • Stripe — payment processing.
  • Cloudflare — content delivery, security/bot protection, and video storage (Cloudflare R2).
  • Amazon Web Services (SES) — sending transactional email (verification, password reset, notifications).
  • Championship judges — your submitted videos are shared with judges assigned to your championship for evaluation.

We may also disclose information to comply with legal obligations, enforce our agreements, or protect the rights, safety, and property of the Championship, participants, or others.

6. Cookies

We use a single essential, HttpOnly session cookie to keep you logged in. We do not use advertising or third-party tracking cookies. Cloudflare may set security-related cookies to protect the Site.

7. Data retention

We retain account, registration, and submission data for as long as needed to operate the Championship, comply with legal and tax obligations, and resolve disputes. You may request deletion of your account as described below; some information may be retained where required by law or for legitimate business records.

8. Security

We use industry-standard measures to protect your information, including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices and rights

You may access or update your account information, or request that we delete your account and associated data, by contacting us at [email protected]. Depending on your location, you may have additional rights under applicable privacy laws.

10. Children

The Site and the Championship are intended for individuals who are at least 18 years old. We do not knowingly collect personal information from children under 18.

11. International users

We operate in the United States, and your information is processed and stored in the United States and other locations where our service providers operate. By using the Site, you consent to this processing.

12. Changes to this Policy

We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent changes. Continued use of the Site after changes take effect constitutes acceptance of the updated Policy.
